Introduction

The Process Definitions tab enables users to manage process workflows during the design phase. Process instances are created from process definitions at runtime. 

In the left-hand menu, navigate to the Process > Definitions page. 

 

The UI is rendered as shown below. All process definitions are sorted by definition name or by the last sort order. Use the column selector to show only the required columns. Use the search box to narrow the result set. Use the refresh icon to refresh the list of process definition tables.   

 

The following operations can be performed in the Process Definition UI:

  • Create a new process definition.
  • Design (modify) an existing process definition
  • Debug.
  • Edit the process definition's metadata.
  • Rename / Copy.
  • Change the Owner of the definition.
  • Save as template.
  • Manage definition changes using a snapshot.
  • Get the definition process URL to the clipboard.
  • Validate the definition design.
  • Remove all process instances associated.
  • Mark the definition as your favorite.
  • Remove the definition to the recycle bin.
  • AI Copilot - Create process.
  • Render the definition workflow with the process steps.
  • View Process Instance as a pie chart.
  • View Process Tasks assigned to users.
  • View the history of changes.
  • Export the definition as an XML, PNG, or ZIP file.
  • Export the process step properties of the definition.
  • Export the definition as a BPMN file (to edit using a different BPMN tool).
  • Export the definition as a PDF file.
  • Export the definition as an SQL file.
  • Import the definition as an XML file.
  • Import the process step properties of the definition.
  • Manage the security permissions of the definition.
  • View the definitions of 'lock' and 'unlock'.
  • Optimize the link priority of process steps based on runtime data.
  • Use tags to categorize the definition.
  • Define master variables and globals for the definition.
  • Update definition design changes to waiting process instances.
  • Archive all process instances of the definition.
  • Understand the definition of usage in terms of the number of instances.

Select a process definition from the table, then click the Actions menu to access the Create, Design, Debug, Edit, Rename, Copy, Change Owner, Save As Template, Manage Snapshots, Get Process URLs, Validate, Remove Instances, Favourites, and Recycle Bin features, as shown in the UI below. 

 

Select a process definition from the table, then click the AI Copilot menu to navigate to the Create Process and Summarize Process features. 

 

Select a process definition from the table, then click the View menu to access the Render, Process View, Process Task View, History, and Heat Map features. 

 

Select a process definition from the table, then click the Export menu to access XML, PNG, Zip, Properties, BPMN, PDF Report, and SQL features. 

 

Select a process definition from the table, then click the Import menu to access the XML and Properties features. 

 

Select a process definition from the table, then click the Security menu to navigate to the Permissions and Definition Locks features. 

 

Select a process definition from the table, then click the Utils menu to access the Optimize Link Priority, Tags, Master Variables and Globals, Update Waiting Instances, Archive Instances, Usage, and Table View features.
