Process Instance Folders

Learn to categorize process definiton and instances in folders.

This function classifies process definitions and their instances.

On the Process Definition page, go to the Folders tab. 

 

Create a folder. 

To create a new folder, select the root folder, then right-click.

 

Enter a folder name, then press Enter to confirm. The new folder has been created and sorted alphabetically. 

 

Navigate to the Process Instances page. This folder shall contain all process definition instances. 

 

Add process definitions. 

Select the new folder, then right-click. You can add more folders, rename, remove, and add process definitions to this folder, create new definitions, and export all definitions from this folder as a ZIP file. 

 

To include an existing process definition, select the folder, right-click, and choose the “Add Definition” option. 

 

A pop-up window opens for configuration. You can add a process definition from the “uncategorized” or “all” folders by clicking the appropriate filter button. Type in the text box to search for definitions. Use the checkbox to select multiple process definitions, then click the Update button to add them. 

 

The process definitions are stored in the folder, and a confirmation message is displayed in the top-right corner, as shown below. 

 

To create a new process definition, select the folder, right-click, and choose the “Create Definition” option. 

 

A pop-up window appears for configuration. Enter the definition name, then click the Create button. If the Open Designer check box is selected, the page will navigate to the process designer immediately. 

 

The new process definition is saved in the folder, and a confirmation message appears in the top-right corner. 

 

Engage a workflow definition to process.  

You can select the new process definition and open the Actions menu to access its options. Similarly, you can navigate to other features when the process definition is selected. 

 

Rename a folder. 

You need to select a folder, then right-click to rename it. 

 

Enter a new folder name and press Enter to confirm. 

 

The folder is sorted alphabetically after renaming. 

 

Delete a folder. 

You need to select a folder, then right-click to delete it. 

 

A pop-up window appears for confirmation. Click the OK button to confirm. 

 

The definitions and their instances are moved to the “uncategorized” folder, and the folder is permanently deleted. 

 

Export a folder. 

You need to select a folder, then right-click to export it. 

 

The folder and its process definitions are exported as a ZIP file to the local folder. Extract the ZIP file to view its contents, as shown below.
