This function permanently removes all instances of the Process Definition.  

Based on the configuration of the process steps, the workflow definition creates tasks and form tasks and stores documents in the DMS folders through its process instances. When the process instance is removed, these associated items are also deleted. 

Navigate to the Process Definitions page, then select a process definition. The total number of instances for the definition appears in the “Used By Instances” column. Select the definition from the list, then click “Actions > Remove Instances.” 

 

A pop-up window appears for configuration. Click the drop-down list to view the instance status. 

 

You can remove the instance by its “Status”. Click the drop-down list to select one of the statuses. The instance can have one of these statuses: “AgentTested, Error, ErrorWait, Sleeping, Debugging, Completed, DebugEnded, and NotStarted”. Click the “Remove” button to initiate the process. 

 

Click the OK button to confirm. 

 

The selection removes the instances, and a confirmation message appears in the top-right corner. 

 

All instances associated with a Process Definition are removed by selecting the Process Definition and clicking the “Remove Instances” menu item. If the number of instances exceeds the configured threshold, the remove instance job runs in the background; otherwise, it runs immediately and refreshes the UI. 

Navigate to “Status > Status > Settings > Configuration > Application Settings”. The “background process cut-off” value determines the job execution load at which work is performed in the background.  

 

 

Remove Process Instance selectively.

Navigate to the “Process > Instances”. The list of process instances is displayed in the table. Use the “Search” textbox to filter the list as shown in the example below. 

 

Select the process instance from the list and click the “Actions > Remove”. 

 

Click the OK button to confirm. 

 

The process instance is removed, and a confirmation message is displayed in the top-right corner.
