Introduction

Learn how to create and manage form instances.

Last published at: January 9th, 2025

We require Form Definitions to create Form Instances. The Form instances may be created manually or instantiated from a workflow process.

You should navigate the Form - Instances page.

The Form Instances UI is rendered as below.  The instances are listed in the table with columns containing instanceName, createdOn, createdBy, updatedOn, and definitionName. The list items are sorted and paginated. The form definitions for these instances can be accessed by clicking their hyperlinks. Use the search box to select fewer instances to view. The column selector feature can hide or show other columns as desired. The folders “Last 10 Updated, My Form Instances, Folders, Favourites, All” categorize the instances for quick access.

The Form Instance UI provides the following functions:

  • Create a new form instance
  • Rename
  • Edit a form instance to submit it again
  • Remove
  • Mark/Unmark as favorite
  • Render a form instance in read-only mode
  • View the history of events
  • Export as XML/HTML/Schema/SQL file
  • Import as HTML
  • Archive the form instance
