Document Permissions

Use this feature to manage document permissions

This feature is used to manage a document's permissions within the DMS folder. 

You need to access the DMS from the left pane. 

 

The DMS page is rendered on a new page, as shown in the example below. Navigate to a DMS folder to view the documents. 

 

Use the “Search” text box to filter the document list. 

 

Select the document in the table, then click the “Access” icon to view the document’s access information. 

 

The “Access Details” are displayed in a pop-up window, as shown in the example below. As observed, access has not been configured for any users or application roles.

 

Click the ellipsis to open the context menu for this document. You can access the “Copy, Rename, Remove, Check Out, Get URL, Download, Permissions, View History, View Revisions, Archive, Classifications, and Details” features. Select “Permissions” menu option. 

 

The “Manage Document Permissions” is rendered on a new page, as shown in the example below. 

  • View: Allows the user to view the document in the selected DMS folder.
  • Download: Allows the user to download a document from the selected DMS folder.
  • Remove: Allows the user to delete a document from the selected DMS folder.
  • Update: Allows the user to perform document actions, including check-out, check-in, upload, update, and undo check-out, within the selected DMS folder.
  • Archive: Allows the user to archive a document from the selected DMS folder.
  • Permission: Allows the user to configure document permissions (View, Download, Remove, Update, and Archive) within the selected DMS folder.

 

Search for and add the FlowWright users and the application role. Select the appropriate checkboxes to enable “View, Download, Remove, Update, Archive, Permissions” and grant access. To revoke access, clear the checkboxes. Then click the “Save Permissions” button. The access permissions are set, and a confirmation message appears in the top-right corner. 

 

Select the document in the table, then click the “Access” icon to view the document’s access information. The “Access Details” are displayed in a pop-up window, as shown in the example below.
