Archive Documents

Use this feature to archive documents.

This feature archives the document.    

You need to access the DMS from the left pane. 

 

The DMS page is rendered on a new page, as shown in the example below. Navigate to a DMS folder to view the documents. 

 

Use the “Search” text box to filter the document list. 

 

Select the document in the table, then click the “Access” icon to view the document’s access information. 

 

The “Access Details” are displayed in a pop-up window, as shown in the example below. Access has been configured for a user and application roles. The ADMIN user has default privileges for “View, Download, Remove, Update, Archive, Permission.” The non-admin (regular user) requires archive access to archive the document.   

 

Click the ellipsis to open the context menu for this document. You can access the “Copy, Rename, Remove, Check Out, Get URL, Download, Permissions, View History, View Revisions, Archive, Classifications, and Details” features. Select the “Archive” menu option. 

 

Click the OK button to confirm. 

 

The document is archived, and a confirmation message is shown in the top-right corner.  

 

On the DMS page, select the folder, then click View > Archive.  

 

The list of archived artifacts is displayed in the table below. You can use the Search textbox to filter the results. Select the item from the table and click the Actions menu to navigate to “Restore, Destroy, and Empty” features. 

 

Restore an Archive. Select the document in the table, then click Actions > Restore. 

 

A confirmation pop-up window appears. Click the OK button. 

 

The archived document is “undone” and removed from the DMS Archive folder. A confirmation message is displayed in the top-right corner.  

 

Destroy an Archive. Select the document in the table, then click Actions > Destroy. 

 

A pop-up is displayed for confirmation. Click the OK button. The archived document is “removed permanently,” and a confirmation message is displayed in the top-right corner.  

 

Empty an Archive. Select Actions > Empty menu option to remove all archived documents.

 

Type “REMOVE” in the text box and click the “Empty Archive” button to start. All archived documents are removed, and a confirmation message appears in the top-right corner.
