Learn about the email reference links

Let's suppose you need quick feedback from your external users on a business decision using FlowWright. Can they participate even if their access credentials do not exist?

In this scenario, the FlowWright Route Form step can be used to route the task link to external users and send an email notification to their business / personal accounts. This link enables external users to connect with FlowWright form tasks anonymously without authentication. Let's learn how to build a form and use it anonymously.  Start a new workflow definition, "Route-Survey-Task," drag the task step, and construct the workflow as shown in the graphic below.

Configure the Task step as shown in the graphic below

Configure the Task Reminder field property as shown in the graphic below. The task reminder message body now supports line breaks. Task reminders configured with a negative value are calculated by reducing that from the task expiration date.

Configure the Email Body field property as shown in the graphic below.

Type any sample text and click   "Replace Link(s)"  in the text area menu. A list of links is displayed as shown in the graphic below.

Navigate and click on $ApproveRejectUILink to insert it as content in the email body, as shown in the graphic below.

Save the workflow definition. Create a workflow instance and execute it. Navigate to the Workflow Instances page to notice a "sleeping" task. This task is now routed to the external user's mailbox as configured in the "Email address to route to" field above.

This task now appears as a new email in the external user's mailbox. The external user shall click on the link URL in the mail.

The link now opens in a new tab, allowing the user to connect anonymously with the FlowWright Form Task, as shown in the graphic below.

Upon task completion, the values are captured and returned to the FlowWright workflow.
